Large Format Camera Rental Requirements

Anyone wishing to rent the large format camera must meet the following requirements:
  1. You must be a current (paid up or Life) member of BEPS. This equipment is not to be used by nor loaned to any individual not meeting this membership requirement.
  2. You must attend the equipment orientation given by the large format camera Chairman. Orientation is brief and may be completed at the time of equipment pick-up. Reorientation may be required at the discretion of the Chair as new equipment is added.
  3. You must contact the Chairman to reserve the camera and any accessories which may be needed for your project. Your project must be approved by the Chairman.
  4. There is a rental charge of $10.00 per weekend (Friday pm to Monday am) or $25 per week. You may make reasonable arrangements for the pick-up and return of the equipment, as necessary, with the Chairman. The rental fee only applies to the number of days of actual use. This should not be misconstrued to mean that you may pick-up the equipment, use it for one or two days and then not return it for a month.
  5. Payment arrangements are to be made at the time of reservation. Normally, payment is made after the equipment is used. Checks, made payable to BEPS, are preferable but cash is acceptable. We have no provision for payment by credit card.
  6. All equipment must be returned in an "as issued" condition - clean and properly stored. Individuals are not held responsible for repairs or replacement of this equipment; due to normal wear and tear.
  7. You must report any equipment problems to the Chairman as soon as possible.

The Club assumes no responsibility for the unavailability of this equipment for a specific date due to unforeseen repair or replacement requirements. Board approved activities shall have priority over the rental by individuals. Specifically, a previously scheduled large format camera workshop shall have priority over rental by individuals.

Large Format Camera Rental Policy

The large format camera is provided to our members for the purposes of allowing them to learn the art and techniques of view camera photography and for their continuing enjoyment of this type of photography. This equipment is not to be used for Commercial or For Pay purposes nor is it to be used by or loaned to any individual not meeting the Large Format Camera Rental Requirements.

The following are a few (but not the only) examples of the approved uses:

  • Any activity approved by the Board of Directors. Photographing the Special Olympics is an example of such approved activity. The no pay rule applies to such events. Approval must be obtained prior to the activity taking place.
  • The wedding or other activity (birthdays, commencements, graduation, etc.) of a family member or friend as long as the individual is not being paid or compensated for their efforts.
  • The photographing of a collection for insurance documentation.
  • The taking of photographs for use in competition.
  • The taking of photographs for your personal enjoyment.
The following are a few (but not the only) examples of NOT approved uses:
  • The photographing of any Special Event or activity that has not been pre-approved by the Board of Directors.
  • The photographing of a wedding or other activity (birthdays, commencements, graduation, etc.) for which you receive pay or compensation.
  • The photographing of a collection for the purposes of selling said collection.
  • The creation of images which you intend to sell. This would not apply to one or two images which are being sold to or being exchanged for the services of a model or objects.
